What's New in MyDocSafe – October 2026
Reach the right clients, with the right message, from the right person. Coloured contact tags, role access by tag, personalised messages to filtered lists, sending from your own address and tidier portal invitations.
This release is about your contact list. Most firms keep their clients in segments: bookkeeping clients, payroll clients, prospects, one partner's clients. Until now, acting on a segment meant working through it by hand. Now you can tag contacts in colour, filter by any or all tags, decide which team members see which contacts, and send one personalised message to everyone in a segment. Alongside that, pending portal invitations can tidy themselves up, TaxNavHQ creates your quarterly tasks for you, and sign-up is simpler.

What's new
Coloured contact tags
Contact groups are now coloured tags. A contact can carry as many tags as you need, and each tag has its own colour, so you can see at a glance who is a bookkeeping client, who is a prospect and who belongs to which partner. A new tag filter lets you match contacts with any of the selected tags or all of them, and you choose which tags appear in the Contacts menu for one-click access.
The benefit: less time scrolling through one long list to find the clients you need.
Role access by tag
You can now limit which contacts a company role can see by choosing tags. Contacts with none of the selected tags are hidden from that role, and you set whether the role can read or edit the contacts it does see.
The benefit: team members work with the clients they look after, and client data is shared on a need-to-know basis.
Message contacts by filter, with variables
Filter your contact list, then send one message to every contact that matches. Each contact receives their own private conversation. An Insert variable menu adds details such as the contact's first name or company name, so every message reads as if it was written for that client.
The benefit: a reminder to every payroll client takes minutes, not an afternoon of copy and paste.
Send from your own address
Users can now send contact messages from their own email address on the firm's authorised domain, so replies come straight back to the person who wrote to the client. This is available on accounts with a white-labelled domain. Contact us for details.
The benefit: clients recognise the sender, and conversations stay with the person who knows the file.
Portal invitation settings
Each portal group has a new Invitations settings page. Alongside the invitation message and automatic reminders, you can set the number of days after which pending invitations are removed. The count starts when an invitation is sent or reminded.
The benefit: fewer stale invitations cluttering your portal lists.
TaxNavHQ
- Quarterly MTD obligations now create Practice tasks automatically.
- The invite dialog shows how many licences you have used and the licence charge before you send.
The benefit: quarterly deadlines appear on your task list without retyping them, and the cost is clear up front.
Rebuilt portal pages
The Portal Roles and Access groups pages are rebuilt on the new interface, and Tutorial settings have their own page.

- Mandatory onboarding workflows can no longer be closed from the form results page.

What these updates mean for your practice
Tags, role access and filtered messages work together. Tag your clients once, and that tag decides who on your team sees them and who receives your next update. A message that used to mean exporting a list and writing emails one by one now takes a filter, a personalised template and a single send. Add tidier invitations and TaxNavHQ tasks that appear by themselves, and there is less admin between you and the client work.
