What's New in MyDocSafe – September 2026, Second Release

Our second release this September is built around one idea: fewer manual steps between inviting a client and doing the work. The headline change is in TaxNavHQ, where adding a client now runs through HMRC authorisation from start to finish. Alongside it, you get more say over who is notified and when, a tidier set of portal settings, and a round of fixes that make everyday signing, sharing and sign-in more dependable.

What's new
TaxNavHQ client licensing
Adding a client to TaxNavHQ now starts with an HMRC authorisation invite, sent by email from MyDocSafe. Your client can accept or decline, and you are told when they have authorised at HMRC. Once HMRC confirms the authorisation, the client is synced and licensed automatically.
Invited and Declined clients each have their own tab, so you can see at a glance who still needs a nudge. The invite dialog also shows how many licences you have used and the per-client charge, so the cost is clear before you press send.
The benefit: less back-and-forth to get a client authorised, and a clear view of who is still outstanding.
TaxNavHQ plans and pricing
A TaxNav client licence is now priced on MyDocSafe's paid plans. If your practice tries to licence a client its current plan does not cover, you are offered the plan that does. The HMRC connection now shows which agent account it acts as, and any licences TaxNav takes back stop being billed overnight.
The benefit: pricing you can see up front, and billing that follows your actual client list.
Send a workflow template to a client
You can now send a workflow template to a client directly from the Workflow templates page, without first opening a portal.
The benefit: fewer clicks to get an onboarding or data-collection workflow in front of a client.
More control over portal notifications
- Choose who is emailed when a portal status changes, so updates reach the people who act on them.
- The Portal workflow completed notification can now be switched on in Portal notification settings.
The benefit: fewer emails for people who don't need them, and a prompt for the people who do.
Broadcasts and sign-up
- The broadcast filter by portal now also applies to Simple message and Request documents broadcasts.
- Sign-up asks for a work email, without blocking personal email domains.

Portals
- Portal Group settings are split into their own pages: General, Security, Customisation, Tutorial, Folders and Backup/Restore/Delete.
- The Access groups page and its portals list have been redesigned.
- Portal signing forms use the new form submitter.
- Workflow widget event emails use the new email design.
- Message emails no longer show a competing second “Open portal” button.
- The legacy HMRC Agent Authorisation widget has been removed.
Signatures
- Signature reminder, cancelled and password emails use the new email design.
- The signee's email address is shown in signature request and reminder emails.
Settings
- Old workflow notification settings have been removed from Personal Settings.
Payments
- A clear empty state is shown when there is no metered billing usage.
Fixes
Portals
- Portal users with Read access can no longer download files.
- Bulk portal import now respects the portal group's onboarding workflow.
- The workflow run page shows an error message instead of redirecting to portal home.
- The Portal Group invitation message is now used for self-signup users.
- The Upload documents step is visible in the workflow sidebar and no longer holds up auto-advance.
- Documents uploaded via the Upload documents widget now trigger a notification.
- The Complete step message is aligned under its icon, and the editor's Left alignment button works.
- Message Page widget text is no longer centred by default.
Workflows
- Clicking Send twice no longer sends a duplicate “Invitation to Complete Workflow” email.
Signatures
- Fixed a server error that could stop signing setup.
- Signers with identical names are no longer blocked when signed in with a different email.
- Sending for signature now has a rate limit and a recipient cap.
- The AES signing one-time passcode lockout is applied consistently.
- Tightened how signing settings are applied when a document is sent.
Sign-in and account
- Improved account separation when switching between users, including when an invite link is opened while signed in as someone else.
Payments
- A subscription upgrade that fails 3D Secure authentication no longer shows as updated.
Settings
- The company Users page no longer fails to load for some companies.
Files
- The document viewer opens the right file in folders holding more than 1,000 files.
TaxNavHQ
- “Open in TaxNav” works again.
What these updates mean for your practice
The TaxNavHQ changes shorten the path from “we'd like to take you on” to a client who is authorised, synced and licensed, with the cost visible at each step. The notification and settings changes mean less noise and fewer places to look. And the fixes, particularly around signing and sign-in, make the everyday parts of client work more predictable.
