Give your board, each committee — audit, compensation, nominating — and each investor group its own secure portal. Each person sees only the portals they are given. Set up a folder structure once and apply it to every portal in the group, so materials are organized the same way everywhere.
Permissions are set per user: you decide whether each person can upload, download or delete files, and whether they can invite others. On your side, Company Roles and access groups control which team members can open which portal, so compensation committee materials stay with that committee.
Everything is encrypted with AES-256 at rest and TLS in transit. Two-factor authentication is available, every action is kept in the audit trail, and you choose a US, UK or EU storage location.

Approvals with a paper trail
An approval buried in a reply-all thread is hard to find at the next round. In MyDocSafe it is a step in a workflow, and the workflow is the record.
Build a sequence of steps — view and approve a document, sign, complete a form, upload a file — and send it to a director inside their portal. The workflow isn’t complete until every step is done. If a signer rejects a signature request, the later steps are disabled: nothing moves past an objection.
Set a deadline on the workflow. Your team is notified when it is completed or a file is uploaded, so nobody has to chase by email.
Use it to approve the annual budget or the board deck, collect conflict-of-interest and D&O questionnaires and related-party disclosures, and sign off policies.
Written consents, minutes and agreements — signed, not chased
Send unanimous written consents of the board, board minutes, officer and director appointment documents, indemnification agreements and executive offer letters for signature by one person or the whole board.
